Take the Tour
This demonstration will guide you through how you can quickly and efficiently manage
leave requests. It will also show how simple it is for employees to book and cancel
leave. In just over 6 minutes we will show you how you and your staff can benefit
from WebHols.
First of all, let's take a tour.
WebHols is cloud-based software - this means that it is available 24/7 on a range
of devices. You can access it at your desktop, on a laptop, tablet or mobile phone
from anywhere in the world. All you need is Internet access and your log on details.
As an employee, you use WebHols to book or cancel a leave request. You can also
book and cancel absence days such as flexi days, time off sick, maternity or paternity
leave. You can see instantly how much leave you have left or how many sick days
you have taken each year.
Every request you make will be automatically sent to your manager, so you can be
safe in the knowledge that your leave request has got through. No more worrying
if bits of paper or messages have gone astray.
As a manager, you get a clear overview of when your staff are working, and you don't
have to do anything to get the information! How many hours of management time will
this save you? The system can be available to as many departments as you want, meaning
your whole management team can understand, at the click of a button, what staff
resources you have available on any given day.
It's a streamlined and fully secure HR tool that eliminates the headache of working
out rosters and balancing the leave requests of your employees, because WebHols
will automatically check leave availability and departmental staffing before to
allowing the request.
Let's take a look at how it works, first of all for members of staff:
1. Using your Internet browser type in the WebHols URL.
2. Enter your email address followed by your personnel password.
3. In the main self-service menu, click on 'Request Holiday'.
4. WebHols will display your current leave status.
5. If you draw your mouse over an existing item, WebHols will provide detailed information
on the item.
6. To book a new item, simply click on the start day on the chart and WebHols
will indicate this with a green highlight on the selected day and put the selected
date in the Request From Date and the Request To Date.
7. Now click the end day of the leave period and WebHols will put the end date in
the Request To date.
8. You can specify full days or part days.
9. Now check on the category of leave you are requesting, this is normally set to
paid holiday.
10. Click the update button to instruct WebHols to store and display the changes,
which will contain a 'W' to indicate waiting for authorisation. Both you and your
supervisor will receive an email detailing your request.
11. An absence request works in exactly the same way; you simply select 'Request
Absence' from the main self-service menu instead of 'Request Leave'.
1. On entry, select 'Cancel Request' from the main self-service menu.
2. If you draw your mouse over an existing item WebHols will provide detailed information
of the item.
3. To remove an item, simply click on the start day on the chart and WebHols will
indicate this with a green highlight on the selected day and put the start date
in the Request From Date.
4. Now click the end day of the requested leave and WebHols will put the end date
in the Request To date.
5. Click on the 'cancel now' button to instruct WebHols to store and display the
changes, which as can be seen below. Your supervisor will receive an email detailing
your action.
Now let's look at how the system works for managers:
1. You will receive an email from one of your staff requesting leave.
2. On the email will be three selection links.
3. If you click authorise the request will be automatically authorised, and your
staff member will be advised by email.
4. If you click decline the request will be automatically declined, and your staff
member will be advised by email.
5. If you click show me you will be taken to the login page, and after entering
your credentials, you will automatically be taken to the Leave Approvals page
where you can view leave for any of your staff and approve or decline the current
request.
To book an absence for a member of staff
1. Using your Internet browser type in the WebHols URL.
2. Enter your email address followed by your personnel password.
3. Select a staff member from the Staff List. WebHols will display the current leave
status.
4. To book a new item, simply click on the start day on the chart and WebHols will
indicate this with a green highlight on the selected day and put the start date
in the calendar.
5. Now click the end day of the leave period and WebHols will put the end date in
the calendar.
6. Check on the category of leave you are booking.
7. You can also select a leave description from the drop-down list or enter a new
leave description in the box provided.
8. If the new leave description will be used again in the future, you can check
the 'Store' box and the new leave description will be added to the drop-down list.
9. Click on the update button to instruct WebHols to store and display the changes.
